Position Overview
We’re seeking a reliable, personable, and detail-oriented individual who communicates clearly, stays organized, and enjoys helping others. This remote hybrid role as a Receptionist, Client Experience Specialist, and Outreach Coordinator is ideal for someone who takes ownership, brings a positive attitude, and thrives as the first point of contact. You will play a key role in supporting daily operations and enhancing the overall client experience, with strong opportunities for growth in a supportive team environment.
Key Responsibilities
• Manage and route all incoming calls to the appropriate team members or departments with accuracy and professionalism
• Utilize structured scripts to guide conversations and determine the correct point of contact when callers are unsure
• Document all call details, including nature of inquiry, urgency, sensitivity, and required follow-up timing
• Ensure messages are accurately recorded and delivered when team members are unavailable
• Track and prioritize urgent calls to support timely follow-up and accountability
• Learn and maintain a strong understanding of company structure, team roles, and internal extensions
• Support the development and use of processes and forms for message tracking and internal communication
• Conduct discovery calls with architects as part of our case study outreach program
• Perform client experience follow-up outreach to strengthen relationships and gather feedback
Qualifications
• 2+ years of experience in a receptionist, administrative, or client-facing role is required
• Bachelor’s or Associate’s degree in communications or a related field preferred; high school diploma or equivalent required
• Highly proficient in Google Workspace tools including Docs, Sheets, and related applications
• Excellent communication skills with a strong customer-first mindset
• Proven ability to remain calm, composed, and effective when handling challenging customer situations
• Comfortable working both independently and collaboratively in a fast-paced environment
• Working knowledge of collaborative communication tools such as Slack
• Experience in the lighting industry or familiarity with lighting products is a strong plus
• Must have a reliable computer, stable high-speed internet connection, and a dedicated, distraction-free workspace suitable for a professional remote work environment

• Competitive salary with a range of $35,000 – $40,000, with final compensation determined based on experience, education, location, and internal equity
